Who it's for
Michigan townships and villages (boards, planning commissions, zoning boards of appeals), HOA and condo boards, and lake associations and lake boards. We serve anyone who keeps minutes.
What we deliver
Draft within 48 hours
Draft minutes within 48 hours of receiving your recording or notes. In your format
Attendance, agenda items, motions, votes and action items, with recording timestamps so you can check any line. Delivered as an editable .docx.No guessing
Anything the audio can't confirm is marked [unclear], never guessed. Names are spelled from your roster, not from the audio.AI-assisted, human-reviewed, clerk-approved
Drafts are AI-assisted and a person reviews every draft before it reaches you. Your clerk or secretary approves the final version. The minutes are yours, and nothing is official until your board approves it.
A recording alone often can't show who moved or seconded a motion. Send a sign-in sheet or motion notes, or fill those names in during your review.
How it works
- Send a private, expiring link to the recording (or your notes), plus the agenda and member roster. A private link that expires is better than an email or marketplace attachment, because it limits extra copies.
- We draft the minutes and review them by hand.
- You edit. Fill in anything flagged and ask for changes.
- You get the final .docx, ready for approval at your next meeting.
Pricing
Also available: $59 for a short meeting (up to 1 hour) and $119 for a long meeting (up to 3 hours, built on your template). Ask about longer meetings or rush delivery.
Privacy in brief
- Transcribed on our own computer. Audio is not uploaded to any AI service.
- Draft text may pass through a paid AI tool that doesn't train on it and keeps logs up to 30 days.
- Never used to train AI. Not used in marketing without your written OK.
- We delete our copies within 7 days of final delivery (sooner on request).
- Files attached on Fiverr or Upwork are kept by that platform under its own policy, so a private, expiring link is better.
- No closed-session audio. If we receive it, we delete it unheard.
- HOA owner personal info is included only as it appears in the record.
On deadlines
Michigan's Open Meetings Act calls for proposed minutes to be available within 8 business days of a meeting. A 48-hour draft leaves room for your review. Lakeshore Minutes is a drafting service, not legal advice.
